Key terms
- Cancellation rate
- Cancelled reservations divided by all reservations for arrival dates that have already passed, times 100. SiteMinder put the global average at about 19% in 2025; an older study of European hotels found close to 40%. It varies widely by channel and season.
- No-show
- A confirmed reservation where the guest neither arrives nor cancels. The room usually can't be resold in time.
- No-show rate
- No-shows divided by the reservations due to arrive in the same period, times 100. Some reports, including Cancellation Intelligence, divide by all reservations, cancelled ones included, which gives a lower figure. Compare like with like.
- Late cancellation
- A cancellation after the free-cancellation deadline but before arrival. The hotel gets some notice, unlike a no-show.
- Guaranteed reservation
- A reservation secured with a card or deposit, so the hotel can charge a no-show or late cancellation under its terms. A non-guaranteed reservation is usually released if the guest hasn't arrived by a set time, often 18:00.
- Cut-off date
- For group bookings, the date after which rooms the group hasn't confirmed go back on sale.
- Booking lead time
- The number of days between the booking and the arrival date. At many hotels, bookings made far ahead cancel more often.
- Expected occupancy
- The rooms you expect to be occupied once likely cancellations and no-shows are taken out of the rooms currently booked.
- Overbooking
- Accepting more reservations than rooms, because some guests are expected to cancel or not show up.
- Walking a guest
- Moving a guest with a confirmed booking to another hotel when no room is available, usually at the first hotel's cost.
